How to use it in ChatGPT
Open a new chat in ChatGPT, paste the prompt, then paste anything the prompt asks for right below it.
The prompt uses short Markdown headings like ### Task and ### Rules. ChatGPT handles this structure well, and it stays readable if you edit it.
If you've connected your email or other apps to ChatGPT, choose "Let my AI look them up" so it can use them as the source of facts.

### About me and my company
My name: Sam Rivera
My role: Sales manager
My company: Northside Supply
What we do: Commercial shelving and racking, installed in 2–3 weeks
Who we sell to: Warehouses and distribution centers
### Task
Write a 3-email sequence.
Who it's for: Operations directors at mid-size clinics
The goal is to book a first call.
Why they'd care: Front desks lose hours chasing paperwork. We cut check-in time in half.
### Details
Proof we can use (only this): Lakeside Clinics cut check-in time from 9 minutes to 4.
Send the emails 2–3 days apart.
### Rules
- Tone: friendly and warm, but professional.
- Write like a real person in sales, not a marketer or a robot.
- No filler openers such as "I hope this email finds you well" or "I wanted to reach out".
- No buzzwords: avoid "leverage", "synergy", "circle back", "touch base", "unlock", "streamline", "game-changer".
- Short sentences. Plain words. Get to the point in the first line.
- My notes may be rough or have typos. Fix spelling and grammar, but keep my meaning.
- Use only facts I give you, in this prompt or in anything I paste or point you to. If something important is missing, put a [placeholder] in brackets instead of making it up.
- Each email gives a new reason to reply: a problem, then proof, then an easy out.
- Email 1 under 90 words. Emails 2 and 3 under 70.
- One question per email, and it should be easy to answer.
- No "just following up" or "bumping this". Each email must stand on its own.
- Use these merge fields where they help: {first name}, {company}, {city}
- If I've named one person instead of a group, write three personal emails instead of templates.
- Write the subject line in normal sentence case: a capital first letter and capitalized names and places.
- What to avoid: Don't mention price yet
- End each email with this signature (each / is a new line): Sam Rivera / Northside Supply / (555) 014-2290
### Output
- For each email: send day, subject line (under 6 words), body.
- A one-line note on what each email is doing. Why this prompt works
Most sequences are one email and two nudges. This prompt gives every email its own job, so each one is worth opening.
- Each email adds something new: the problem, the proof, then an easy way to say "not now".
- It keeps every email short, with one easy question.
- It uses merge fields so you can load it straight into your email tool.
Questions
- Can I use this for one person instead of a list?
- Yes. Type their name and role, and it writes three personal emails instead of templates.
- What if I don't have a case study?
- Leave proof blank. The AI uses a [placeholder] instead of making one up.
- How far apart should the emails be?
- 2–3 days is common for cold outreach, a week for warmer leads. Or let the AI suggest.
- Does it work with the free version of ChatGPT?
- Yes. The prompt is plain text and works in any ChatGPT plan. Looking things up in your email needs a plan and setup that connects those apps.
