How to use it in Copilot

Open Copilot (in Microsoft 365, Outlook or Teams), paste the prompt, then paste anything the prompt asks for right below it.

The prompt uses short, plain sections with capital-letter titles, which keeps it clear in Copilot's chat box.

With Microsoft 365 Copilot, choose "Let my AI look them up" and the prompt asks it to search your Outlook email, calendar and Teams chats.

For a sample company, Northside Supply. Yours uses your answers and your company profile.

Show the example prompt
ABOUT ME AND MY COMPANY:
My name: Sam Rivera
My role: Sales manager
My company: Northside Supply
What we do: Commercial shelving and racking, installed in 2–3 weeks
Who we sell to: Warehouses and distribution centers

TASK:
Write my weekly sales update for my team. It was a strong week.
Here are the facts: $84k closed of $120k target, 2 new logos, Dana's first deal.

DETAILS:
People to recognize: Dana for her first deal, Marcus for the Harbor renewal
Next week's focus: Close the two Pinecrest deals
Don't mention: The pricing change, until it's announced

RULES:
- Tone: friendly and warm, but professional.
- Write like a real person in sales, not a marketer or a robot.
- No filler openers such as "I hope this email finds you well" or "I wanted to reach out".
- No buzzwords: avoid "leverage", "synergy", "circle back", "touch base", "unlock", "streamline", "game-changer".
- Short sentences. Plain words. Get to the point in the first line.
- My notes may be rough or have typos. Fix spelling and grammar, but keep my meaning.
- Use only facts I give you, in this prompt or in anything I paste or point you to. If something important is missing, put a [placeholder] in brackets instead of making it up.
- Lead with the number that matters most against target. No warm-up.
- Name people for specific wins. One line each.
- Write the subject line in normal sentence case: a capital first letter and capitalized names and places.

OUTPUT:
- A subject line, then the update.
- Sections: Where we are · Wins · Watch list · Next week.
- Under 200 words.

Why this prompt works

Weekly updates get skipped when they're long or vague. This prompt leads with the number, names real wins and ends with what's next, so it takes 30 seconds to read.

  • It puts the result against target in the first line.
  • It recognizes people by name for specific things, which lands far better than "great work, team".
  • It changes tone for a tough week: honest about the gap and clear on the fix.

Questions

Can I send different versions to my team and my boss?
Pick "Both" and you get two short versions from the same facts.
What if I don't have exact numbers?
Rough numbers work. Anything missing comes back as a [placeholder] to fill in.
Will it work for Slack or Teams?
Yes. Choose "Slack or Teams message" for a shorter, scannable version.
Does it work with Microsoft 365 Copilot at work?
Yes. The Copilot version is written to use what Copilot can see at work, like your Outlook email and Teams meetings, when your company has turned that on.
