How to use it in Copilot

  1. Answer the questions above. Only the starred ones are required.
  2. Click Copy prompt.
  3. Open Copilot (in Microsoft 365, Outlook or Teams), paste the prompt, then paste anything the prompt asks for right below it.

The prompt uses short, plain sections with capital-letter titles, which keeps it clear in Copilot's chat box.

With Microsoft 365 Copilot, choose "Let my AI look them up" and the prompt asks it to search your Outlook email, calendar and Teams chats.

Example: the finished prompt

For a sample company, Northside Supply. Yours uses your answers and your company profile.

ABOUT ME AND MY COMPANY:
My name: Sam Rivera
My role: Sales manager
My company: Northside Supply
What we sell: Commercial shelving and racking, installed in 2–3 weeks
Who we sell to: Warehouses and distribution centers

TASK:
Help me prepare for a meeting with Harbor Foods: Dana Lopez (ops) and Marcus Lee (purchasing), a prospect (not a customer yet).
Meeting type: first call to learn their needs. Length: 30 minutes.
Topic: Install timeline for the new warehouse
My goal: Agree on a pilot at one location and a start date.

DETAILS:
What I know: Growing fast, 3 warehouses. Current shelving vendor missed two install dates.

RULES:
- Tone: friendly and warm, but professional.
- No buzzwords: avoid "leverage", "synergy", "circle back", "touch base", "unlock", "streamline", "game-changer".
- Short sentences. Plain words. Get to the point in the first line.
- My notes may be rough or have typos. Fix spelling and grammar, but keep my meaning.
- Use only facts I give you, in this prompt or in anything I paste or point you to. If something important is missing, put a [placeholder] in brackets instead of making it up.
- Be specific to this meeting. No generic sales advice.

OUTPUT:
A one-page brief I can read in two minutes, with these parts:
1. Goal of the meeting, in one sentence.
2. What I know about them, in 3 bullets (only from the facts given).
3. A short agenda with rough timing.
4. Five questions to ask, best first.
5. Likely objections, each with a short, honest answer.
6. The exact ask to close the meeting with a next step.
- Short bullets, plain words.
- Mark anything you're unsure about as [check this] instead of guessing.

Why this prompt works

  • The brief changes with the meeting type: discovery, demo, pricing review, negotiation, business review, support call or internal meeting.
  • Anything the AI isn't sure about is marked [check this] instead of guessed.
  • Support calls get a troubleshooting plan and next steps with owners, not sales objections.

Questions

Can it use my calendar invite?
If your AI is connected to your calendar, yes. Choose "Let my AI look them up" and the prompt asks it to check the invite and your past emails.
How long is the brief?
One page, in short bullets, meant to be read in about two minutes before you walk in.
Does it work for internal meetings?
Yes. Pick "Internal meeting" and the brief covers the points to make, decisions needed and the follow-up to send.
Does it work with Microsoft 365 Copilot at work?
Yes. The Copilot version is written to use what Copilot can see at work, like your Outlook email and Teams meetings, when your company has turned that on.
