Discovery Call Recap

$1.99 · free with Pro

Paste a call transcript or notes. Get a CRM note, what's qualified and what isn't, next steps, a recap email and coaching notes.

Built for reps and managers who finish a discovery call and need the follow-up done within the hour.

Paste the transcript from Zoom, Teams, Google Meet or your call recorder, or just your rough notes. Claude checks what you learned against a simple qualification checklist (problem, impact, timeline, decision, budget, alternatives, champion), quotes the customer's own words as evidence, and turns every gap into a question for the next call.

You also get next steps with owners and dates, a CRM note ready to paste, and a short recap email the customer will actually read. Managers get coaching notes with exact talk-time and question counts. It only uses what was said on the call, so nothing gets made up.

Example output

Brightline Logistics: discovery call, November 2, 2026 (22 min) Dana Okafor (Northside Supply Co.) with Luis Moreno (VP Operations) and Kim Tran (facilities).

1. Summary

Brightline added two grocery accounts in September and their Reno building is about 40% busier. They're out of pick faces and staging pallets in the aisles, which is slowing work and has already caused a near miss. They need about 320 more pallet positions installed before the first week of February, when the second account ramps up. Next step is a site walk on Thursday, November 5 at 9 a.m.

2. Qualification

AreaStatusEvidence
ProblemConfirmed"We're out of pick faces... staging pallets in the aisles" (02:24)
ImpactPartialAbout $18,000 a month in overtime in October (06:48); late-truck penalties on a new account, amount unknown
TimelineConfirmedInstalled before the first week of February, when the second account ramps (11:42)
DecisionPartialLuis owns the budget; over $50,000 goes to CFO Rachel Adams; landlord must approve floor anchoring (12:42, 13:36)
BudgetPartialNo line item; CFO wants payback under a year (15:12)
AlternativesConfirmedOverflow space at about $9 a pallet a month plus trucking; a spring quote from another vendor with a 12-week lead time (09:36)
ChampionPartialLuis is driving it, but Rachel hasn't seen a proposal yet
RisksConfirmedMissing February means they'll use overflow space for peak and revisit in spring (21:18)

3. Gaps to close on the next call

  1. What do the late-truck penalties cost per missed window, and how often has it happened?
  2. Will this project likely be over $50,000, and what does Rachel need to see to approve it?
  3. How does Rachel calculate payback: overtime only, or penalties and overflow costs too?
  4. What does the landlord need for anchoring approval, and how long does it usually take?
  5. Is the other vendor still in the running, or was that quote for a different project?

5. Risks

  • Timing: if install can't finish before February, they'll go with overflow space.
  • Approvals: the CFO and the landlord both have to say yes, and neither has seen a plan.
  • Budget: there's no line item, so the payback case has to carry it.

6. CRM note

Discovery call Nov 2 with Luis Moreno (VP Ops) and Kim Tran (facilities). Reno building up ~40% since Sept; out of pick faces, staging pallets in aisles, one forklift near miss. Need ~320 pallet positions installed before first week of Feb. Overtime ~$18k/mo (Oct); late-truck penalties on a new account (amount TBD). Over $50k goes to CFO Rachel Adams; she wants payback under 12 months. Landlord must approve floor anchoring. Alternatives: overflow space (~$9/pallet/mo + trucking), another vendor's quote with a 12-week lead time. Next: site walk Thu Nov 5, 9 a.m. Luis sending penalty terms by Wed Nov 4.

7. Recap email (Draft)

Subject: Brightline + Northside: recap and Thursday's site walk

Hi Luis and Kim,

Thanks for the time today. Here's what I heard:

  • Reno is about 40% busier since September, and pallets are being staged in the aisles.
  • You need roughly 320 more pallet positions, installed before the first week of February.
  • Overtime ran about $18,000 in October, and one new account has late-truck penalties.
  • Anything over $50,000 goes to Rachel, who looks for payback under a year, and the landlord signs off on floor anchoring.

Next steps:

  • Luis: late-truck penalty terms by Wednesday, Nov 4.
  • Kim: what the landlord needs for anchoring approval.
  • Site walk: Thursday, Nov 5 at 9 a.m., with our layout engineer.

I'll send the site-walk checklist today.

Dana

8. Coaching notes

Talk time: Dana 44%, Brightline 56%. Dana asked 13 questions in 22 minutes; her longest stretch was 33 words.

What went well:

  • Dug into impact with follow-ups ("And what happens if you go into peak like this?").
  • Mapped the decision early and found the CFO and the landlord.
  • Closed on a dated next step with an owner on each side.

Try next time:

  • Get a number on the penalties before the call ends, or agree when you'll get it.
  • Ask how Rachel works out payback, so the proposal matches her math.
  • Ask directly whether the other vendor is still being considered.
